Double Opt-in for New Candidates and Managers
In accordance with Articles 7 and 8 of the EU-GDPR, you must inform your candidates and managers before sending promotional content. They must actively give their consent.
When creating new contacts in aiFind or via the browser extension, a GDPR-compliant welcome email with confirmation link can be sent automatically. Alternatively, you can save the contact and reach out individually.
The contact history shows when and by whom the opt-in was confirmed.
Example Welcome Email:
Dear Sir or Madam,
Thank you for joining us as a business partner of Muster GmbH.
To send you relevant offers in the future, please confirm your email address via the link below.

About GDPR:

How to unsubscribe from future offers:
Every email contains an unsubscribe link. You can opt-out anytime with just one click.

Managing Opt-in Status
- No opt-in needed for 1-on-1 emails
- Opt-in required for mail campaigns
- Opt-in status visible in the contact record
Mail campaigns in aiFind only include contacts with valid opt-in and must include an unsubscribe link.
Opt-out
Every campaign email includes an unsubscribe link that allows recipients to remove themselves from your mailing list.
You can also manually mark a contact as opted-out in their profile upon request.
Note: Campaigns automatically exclude contacts without opt-in.
Deletion or Anonymization
In accordance with Article 17 of the GDPR, you can delete or anonymize any candidate or manager from within their “Personal information” section.
⚠️ Warning: Once deleted, no reports or info can be generated. Be sure to provide all required data beforehand.
Data Report Provision
Under Article 15 of the GDPR, any contact may request access to their stored data.
This can be initiated directly in the “Personal information” section of the contact record. The report is sent immediately as a .json
file and includes only personal data – no internal notes or metadata.
